MEETING ROOM
POLICIES

The Charleston Carnegie Public Library is very excited to offer the public the use of its new meeting rooms.
Groups wishing to use the meeting room must complete a meeting room application form and wait for approval.

The mission of the Charleston Carnegie Public Library is "to provide quality library service, enhancing community learning, growth, and enjoyment."  The Library provides meeting rooms for the purpose of presenting programs of culture, education, entertainment or information to the Charleston community.

The public meeting rooms are available to public groups as a limited public forum with the following guidelines set by the Library Board. Scheduling preference is given to library sponsored activities. (see "Who can use the meeting Rooms.")  and the Charleston City Government. The meeting rooms are available on a first-come-first-served basis. The Library reserves the right to make cancellations due to Library needs, unforeseen events, emergency conditions, or other extenuating circumstances.

The following rooms are available:
The Rotary Community Meeting Room A has a capacity of 118.
The Rotary Community Meeting Room B has a capacity of 102.
The 2 Study Rooms in the upper level have a capacity of 6 to 10.
The Conference Room by Genealogy has a capacity of 15.

The rooms are available as follows:
The 2 Study Rooms and the Conference Room are available ONLY during regular Library hours, free-of charge.
10:00 am - 8:00 pm Monday - Thursday
10:00 am - 6:00 pm Friday & Saturday
1:00 pm - 5:00 pm Sunday

The Rotary Community Meeting rooms will be available for use during the above regular Library hours and can be used before or after hours with prior approval from the library director until 10:00 pm Monday - Saturday with a deposit based on group size and hours needed. (Deposit amounts to be decided with approval.)

Room reservations can be made 3 months in advance of the request date. The Meeting Room reservation will be official only after the application forms are filled out and approved.

The person reserving the room must be over 18 years of age. The applicant for the room is responsible for any damage to the facility, property, or equipment and for the cleanliness of the facility at the close of the meeting. Applicants are expected to leave the room and equipment in the same condition as they found it. Decorations, scenery, or signs are prohibited unless prior approval has been received from the Library. Items are not to be taped to the walls, doors, etc.  Users will be billed for the repair of any damage to facilities or equipment (library custodial staff will inspect meeting rooms after each use and report any damage to the Library Director) If the Library has to pay extra for cleaning up after a group's use of the Meeting Room, the group will be charged that amount. Smoking, drugs, alcoholic beverages and any kind of flammable substances are prohibited in Library facilities at all times.

The blocking of entrance and exit doors in any manner is prohibited.

What about snacks, drinks, meals & catering?

The Charleston Carnegie Public Library welcomes the public use of its meeting facilities in keeping with the
Library's mission to "enrich our community by providing unlimited opportunities for information, education,
Inspiration and imagination. Meeting rooms are primarily for use by the library to present library-sponsored
programs. When not in use for library-sponsored events, meeting rooms are
available for use by community groups that meet the library's guidelines and for purposes that are consistent with the library's mission, goals, and objectives.
First preference will be given to groups that are using or sponsoring the use of Charleston Carnegie Public
Library materials or programs. Examples of this category are: Friends of Charleston Carnegie Public Library,
genealogical groups or clubs, and book discussion groups.
Second preference will be given to non-profit, cultural, scientific, humanitarian, self-help, educational, and
community-service groups whose purpose in meeting is to provide information, study, or problem-solving.
Examples of this category are:  social service agencies, hobby and special community interest groups, and city and county departments.
Third preference will be given to individuals.  An adult, at least 18 years old, must be in attendance at any group function and accept responsibility for the actions of the group. Individuals or groups may not solicit or sell
products or services that are not directly connected with the Library and no admission fee may be charged.
